This notice explains what personal data we collect when you use this website or contact us, why we collect it, who we share it with and the choices you have. We keep it short and specific to what we actually do.

What we collect
When you request a quote
The quote form asks for your name, email address and phone number, and depending on who the order is for, your company name and type of business or your delivery postcode. It also collects the details of your requirement: the product, quantity, required-by date, your description and any files you attach, such as drawings or photos. Please do not include anyone else's personal data in attachments unless you need to.
When you email or call us
We keep your contact details and what you tell us, so we can deal with your enquiry or order.
When you place an order
We keep the contact, delivery and order details needed to build, deliver and invoice your order.
When you browse the site
Our hosting provider processes technical data, such as your IP address and browser type, to deliver the pages and protect the site against abuse. If you accept analytics cookies, Google Analytics also collects information about how you use the site, such as the pages you visit. We do not use it to identify you. See our cookie policy for details.
Why we use it, and our lawful basis
- To answer your enquiry and prepare a quotation. If you are asking for yourself, this is a step you have asked us to take before entering into a contract. If you are asking for a business, it is our legitimate interest in responding to business enquiries.
- To build, deliver and invoice your order, and to deal with any aftercare or repair. This is necessary to perform our contract with you, or with the business you work for.
- To keep business and tax records that the law requires us to keep.
- To understand how the site is used and improve it. This is based on your consent, which you give by accepting analytics cookies. You can withdraw it at any time.
- To keep the site and our forms secure, for example filtering spam. This is our legitimate interest in running a safe website.
We only use the details you send through the quote form to deal with your enquiry. We do not add you to a mailing list, and we do not sell your personal data.
Who we share it with
We share personal data only with the service providers we need to run our business, and only for the purposes above:
- Netlify, which hosts this website and receives and stores quote form submissions and attachments for us.
- Google, which provides Google Analytics, only if you have accepted analytics cookies.
- Our email and IT service providers, which store the emails we send and receive.
- Couriers and delivery companies, which receive your name, delivery address and phone number when we despatch an order.
- Our accountants and professional advisers, where needed, and authorities such as HMRC when the law requires it.
Our trade partners' customer details stay confidential. We do not use them to contact those customers.
Transfers outside the UK
Some of our providers, including Netlify and Google, may process data in the United States or elsewhere outside the UK. Where they do, the transfer is protected by safeguards recognised under UK data protection law, such as the UK Extension to the EU-US Data Privacy Framework or approved contract clauses.
How long we keep it
- Quote requests that do not lead to an order: up to 2 years from your last contact with us, in case you come back to the same requirement.
- Customer and order records: 6 years after the end of the financial year the order falls in, as UK tax law requires.
- Analytics data: 14 months, after which Google Analytics deletes it.
Once your enquiry is in our own records, we remove it from the form service. When we no longer need personal data, we delete it securely.
How we protect it
The website is served over an encrypted connection (HTTPS), and access to enquiries and customer records is limited to the people at QAD who need it to do their job.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal data we hold about you
- correct anything that is wrong or incomplete
- delete your data, where we no longer have a good reason to keep it
- restrict how we use it, or object to our use of it
- send it to you or another organisation in a portable format, where this applies
Where we rely on your consent, such as for analytics cookies, you can withdraw it at any time using , also found in the footer.

Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: ico.org.uk/make-a-complaint, telephone 0303 123 1113.
Changes to this notice
We will update this notice if the way we use personal data changes. The date at the top shows when it was last updated.
